A clean, consistent logbook can make a strong first impression before the interview even begins. Make sure your logbook creates confidence, not questions.


7 Logbook Red Flags to Fix Before Your Next Pilot Interview

During an airline selection process, recruiters may compare your logbook with your application, review how your flight time is classified, and look for inconsistencies that need clarification.


A red flag does not automatically mean something is wrong. Sometimes it simply means the reviewer needs to spend more time understanding your records.

Here are seven common issues pilots should address before an interview.


1. Your totals do not match your application


One of the easiest ways to create unnecessary questions is to submit flight-time numbers that do not reconcile with your logbook.


This is especially common with paper logbooks. Manual page totals, carry-forwards and category calculations can introduce small errors that accumulate over the years. Interview-preparation sources consistently identify mismatched totals as one of the first things recruiters notice.


A good way to test the consistency of your numbers is to run a few basic cross-checks before an interview. Recruiter-preparation guidance commonly recommends checking whether single-engine + multi-engine time reconciles with total time, whether day + night time makes sense against the total, and whether the PIC/SIC/dual split is consistent with the overall flight-time history.


Other useful checks include:


  • Paper logbook ending total vs. the next book’s opening total. Carry-forward errors are very common.

  • Application totals vs. logbook totals, especially Total Time, PIC, SIC, turbine, multi-engine, instrument, and recent experience.

  • Simulator or training-device time. It should remain clearly separated and should not accidentally inflate total flight time.

  • Aircraft-category totals. Wrong aircraft profiles can distort single-engine, multi-engine, turbine, or time-on-type totals.


The goal is not to force every column to equal another. Some categories overlap by design. The goal is to make sure the relationships between your totals are logical, traceable, and easy to explain.

2. Your PIC time is not clearly classified


PIC (Pilot in Command) is an important category in a professional pilot application, and it is also one of the easiest to misunderstand.


Under 14 CFR §1.1, the Pilot In Command is the person who has final authority and responsibility for the operation and safety of the flight, has been designated as PIC, and holds the appropriate qualifications.


But FAA logging rules are broader. Under FAR §61.51, a pilot may legally log PIC time in certain situations without being the person actually exercising command authority. FAA legal interpretations specifically distinguish logging PIC from acting as PIC.


That is why the PIC total shown in your logbook may not always be the same PIC total an airline wants you to report in a job application.


Some airline applications make this distinction explicit and ask candidates to report only the time in which they were actually performing the duties of Pilot in Command. In that case, supervised-command categories such as PICUS or SPIC should not automatically be added to that total unless the application instructions specifically allow it.

The safest approach is to understand exactly how your flight-time categories are recorded and be ready to explain how your PIC totals were calculated.


This is particularly important for pilots with international experience who may have flown under different regulatory systems and logbook formats. Under EASA rules, for example, SPIC and PICUS are recognized as distinct forms of command-related experience and should remain clearly identifiable in the logbook, even when they may be credited toward certain PIC experience requirements.


Best practice: keep PIC, PICUS, SPIC, SIC, and other pilot functions clearly identified in your logbook. This allows you to calculate the correct PIC figure for each employer or regulator’s specific requirements.


3. Records that cannot be easily verified


As we mentioned earlier, bringing your entire flight history into one digital platform makes it much easier to review totals, track statistics, and understand your overall experience.


Printing your complete flight history from a single digital source into a standardized logbook format also gives your records a clean, professional, and organized appearance.


But having everything digitized does not mean the original supporting records should be discarded.


Training records, operator or regulator statements, instructor endorsements, company flight-time declarations, and other original documents may still be important if you are ever asked to verify or clarify part of your experience.


Digital records make your career history easier to manage, review, and access. But whenever original supporting documents exist, they should be preserved and kept available as evidence.


Best practice: use your digital logbook as the central place to organize and track your career, but keep original supporting records safely stored and ready to provide if requested.


4. Your logbook does not match the regulatory format you need


A pilot logbook is often more flexible than many pilots think. Regulators and employers do not necessarily require one specific book, layout, or visual format. What they usually define is which information must be recorded and how that record must be maintained or certified.


Under FAA rules, for example, pilots must document the required flight experience “in a manner acceptable to the Administrator,” while §61.51 specifies the information that must be recorded. FAA guidance has also explicitly recognized that these records may be maintained in different formats, including electronic systems.


EASA follows a similar principle: FCL.050 requires pilots to maintain a reliable record of their flights in a form and manner established by the competent authority. Its associated guidance then specifies the information that should appear in the record and allows both paper and electronic logbooks.


So the key question is often not “Does my logbook look like the official template?” but rather “Does it contain the information required by the regulator that will review it?”


And those requirements can change depending on where in the world your career takes you.


For example, an EASA-style record includes the name of the PIC for each flight, while FAA regulations do not generally require that field for every ordinary flight entry.


Under FAA requirements, Actual Instrument time is not the time an aircraft was operated under IFR rules, but the time the pilot operates solely by reference to instruments under actual or simulated instrument conditions.


That means transferring an “IFR Time” column from another regulatory system directly into an FAA Actual Instrument column could create an inaccurate record.


This is another major advantage of having a digital logbook. If each flight is recorded with detailed information, the same underlying database can later be used to generate different logbook formats for different regulators or employers requirements.

Best practice: record each flight with as much relevant detail as possible, keep the original data complete, and generate the final logbook according to the regulator or employer reviewing it.


5. Unexplained gaps in your flying history


A gap itself is not necessarily a problem. A long gap in a logbook does not always mean the pilot stopped flying.


Sometimes the gap reflects missing records rather than a true period without flight activity, for example, a lost or damaged logbook, or a period that was never properly recorded.


That is why it is important to review your career chronologically and identify any extended periods where the logbook does not clearly show what was happening.


If records are missing, be ready to explain the situation and support the experience with any documentation still available. Depending on the situation, that may include operator records, training records, previous FAA applications, check ride forms, employment records, pay statements, or statements from former employers.


FAA guidance recognizes that experience may sometimes need to be supported through alternative documentation when original records are lost or unavailable.


In certain specific regulatory contexts, the FAA even permits a signed and notarized affidavit supported by available evidence when employment or experience records cannot be obtained. The FAA also notes that aeronautical experience previously recorded on FAA Form 8710-1 can help substantiate past experience if a logbook is later lost.


Best practice: review your logbook from beginning to end before an interview. For every significant gap, know whether it represents a true period without flying or missing documentation, and keep any available supporting records ready to explain the difference.


6. Aircraft types and variants are not consistently classified


The same aircraft entered under several different type codes or names can split time-on-type totals and also affect single-engine, multi-engine, turbine, or other experience categories.


This is especially common with aircraft families that include several variants: passenger and freighter versions, different engine options, different configurations, or multiple models covered by the same type rating.


Over a long career, recording the same aircraft family under slightly different names can fragment your totals and make it harder to answer simple questions such as:


  • How much time do you have on this type rating?

  • How much of that was on a specific variant?

  • How much was flown as PIC or SIC on type?

  • How recent is your experience on each model?


This becomes particularly important during job applications because an employer may ask for totals by type rating, while a recruiter may later want to understand your experience on a specific aircraft variant.

A digital logbook can make this much easier if the aircraft structure is organized correctly.

7. Your logbook is difficult to review


A recruiter should be able to understand your flying history quickly.


Duplicated flights, inconsistent formats, unclear corrections, missing totals, or several disconnected records do not necessarily mean the experience is wrong, but they make the review slower and harder.


A well-organized logbook should help the reviewer navigate your career without having to search through hundreds of pages.


One useful step before an interview is to create a short list of logbook highlights so you can quickly find important entries if the recruiter asks about them.


These may include:


  • Initial check rides for a new certificate, rating, or type rating

  • Important career milestones, such as your first 500 or 1,000 flight hours

  • First flights on a new aircraft type

  • Upgrade or command qualification events

  • Training or checking events that were important in your career

  • Flights that helped you meet specific experience requirements for the position you are applying for


Some airline interview guides or candidate instructions may even indicate which milestones or logbook entries the company expects applicants to identify in advance.


This preparation makes the interview smoother and also helps you become more familiar with your own flying history.


Your logbook should not only be organized. You should master it and be able to guide the recruiter through it

Best practice: before the interview, review your logbook from beginning to end, identify and highlight your milestones and the entries most likely to be discussed, and keep a simple list of flights and dates so you can find them immediately.


Your logbook should adapt to your career


Different airlines and regulators may ask for different definitions of the same experience.


One employer may focus on turbine time, while another may request on-type experience, recency, or a specific flight experience. A regulator may require fields that another authority does not.


That is why the strongest logbook is not simply one with a large number of pages and flight hours. It is one where the underlying data is complete, accurate and detailed enough to generate the right report when the requirement changes.
